What happens if my payment is late?
If you think you will be paying late, please contact us before the due date.
Accounts with outstanding amounts will be suspended until the late amount is paid.
An invoice is missing
Email us quoting your account number and which months/amounts you are missing.
I am not receiving emails
Check with HotAir that we have your correct email address.
Confirm the emails are not going into your spam folder. If you are using Gmail you will need to mark our emails as not spam using Gmail’s web interface.
How do I change where invoices are emailed?
Send us an email quoting your account number and the email address invoices should be sent to.
What detail is shown on invoices?
Invoices show everything we know about the meeting. When a line joined, how long it was connected and what it cost. If we can see the calling telephone number, this is displayed.
Why can’t I see every phone number?
All of the telephone numbers we can see are shown on the invoice.
Private and overseas numbers are not shown because we don’t know what they are.
If your organisation needs a purchase order before authorising using the service, you will need to ask for a special open purchase order. Just as it is not possible to have a fixed price purchase order for petrol or telephone calls, it is not possible to know what a meeting will cost until after it has finished.
How do I know who used the service?
HotAir knows who set up the account, but not who is using it because meetings are not booked with us.
If you need to know who was on a meeting but cannot identify any of the telephone numbers, try calling some of them.
