Getting started with conference calls

  1. Create a conference call account with HotAir Conferencing.
  2. You don’t need to book a conference call because the details are always the same.
  3. The conference call details are always the same (telephone numbers and PINs)

  2. Email the details for your conference call to the participants.
    1. Day / time / time zone
    2. Telephone number.
    3. Participant PIN (you will be using the call leader PIN.
  3. Join the meeting using the call leader PIN (this removes the music so you can all talk).
  4. Introduce yourself and ask who is online.
  5. If you are the first caller, the system will tell you this.

You will be emailed a telephone number and a pair of PINs.

To join the meeting dial into the service and enter a PIN.

As the call leader you have a different PIN to everyone else, this is to prevent your account being used without you being in attendance,

You can now hold a meeting whenever you like without needing to make a booking.

There is no subscription/recurring charge, you only pay for what you use so you can use it once or a hundred times.

We recommend when inviting people to a conference call that you tell people what time it is in their time zone. Don’t assume they will know they need to work this out for themselves.

Using a mobile phone for conference calls

There are two ways to join a teleconference from your mobile phone:

  1. Dial the number, wait to be answered and then enter the PIN.
  2. Store the telephone number and PIN in your address book or the meeting invitation. Read how to do this.

Australia 1800 numbers

The following answer assumes you are in Australia and using an Australian mobile phone account

Most people join a teleconference by dialling a 1800 number.

Calls to 1800 numbers are free from mobile phones, so no charges will appear on your telephone bill.

Dialling a regular number

There are no local calls when using a mobile phone.

Calling to the person next to you costs the same as a call to the other end of the country so if you are not using the 1800 number, there is no reason to feel you need a local number.

Send a calendar invitation to your team including the:

  1. Day / time / time zone
  2. Telephone number.
  3. Participant PIN (you will be using the call leader PIN.

Join the meeting using the call leader PIN (this removes the music so you can all talk).

If people will be joining meetings from their mobile phones, you can include in the invitation a one click link that will join them into the meeting.

Charges for conference calls

At HotAir, we charge per line per second. We do not round up to the nearest minute.

Some teleconferencing companies charge an all you can eat monthly fee, but this is only possible using the internet based services.

We’d love to provide a service like this (the margins are huge), but we don’t like apologising so only use real telephone lines. This costs us more and means we have to charge against time but it means it always works as expected!

Teleconference are charged per line per second although we show the price per minute because it is easier to understand.

Most of our users ask their meeting participants to join using the 1800 number. This means that their calls are free (because you are paying for them).

If you had 5 people dialling the 1800 number for a 60 minute meeting the cost would be:

5 people x 60 minutes x $0.12 = $36.00

With GST = $39.60
